How KhanePe works

Nine steps take you from a one-page inquiry to a catered event: a call to understand your needs, the best three quotes from pre-vetted vendors, a reconfirmation three days before, payments split 25% / 50% / 25%, and feedback and invoice on the day.

Key takeaways

  • Fill out the form at least one week before your event.
  • KhanePe calls you, briefs pre-vetted vendors and forwards the best three quotes.
  • Confirm one quote with 25%; pay 50% after the three-day reconfirmation, then the final 25%.
  • On D-Day, feedback is collected and the invoice is handed over.

What are the nine steps of a KhanePe order?

A KhanePe order has nine steps: you fill out the form; the team calls you; vendors receive your brief; the best three quotes are forwarded; you confirm one by paying 25%; preparations are reaffirmed three days before; you pay 50% as timing, venue and serving are mapped; you pay the final 25%; and on D-Day feedback and invoice follow.

Why does KhanePe need at least one week?

One week is the time it takes to do steps two to five properly: a detailed call, briefing several vendors, comparing their menus, prices and hygiene, and giving you time to choose. Requests inside a week leave vendors too little time to plan, so KhanePe asks for a minimum one-week window.

For festivals and large events, more notice helps: vendors book up first on dates such as Navratri, Diwali and Uttarayan. See festival catering.

How are payments split?

Payments are split into three parts linked to progress. You pay 25% of the chosen quote to confirm the vendor (step 5), 50% after preparations are reaffirmed three days before the event (step 7), and the remaining 25% to complete the order (step 8). The invoice is handed over on D-Day.

How are the three quotes chosen?

Your requirement goes to multiple pre-vetted vendors who serve your area and format. The KhanePe team compares their responses on menu fit, price, hygiene credentials, capacity and past feedback, and forwards the best three. Each quote lists the menu, what is included, the price and the vendor’s certifications.

  • Menu that matches your brief, dish by dish
  • All-inclusive price, with staff, crockery and delivery shown
  • Food safety credentials: FSSAI and any ISO 22000, HACCP or FoSTaC
  • Capacity for your headcount and date
  • Feedback from past KhanePe orders

Who does what on the event day?

On the event day, the vendor you confirmed cooks, delivers and serves according to the time, venue and serving mode mapped at step 7. KhanePe remains your single point of contact if anything needs attention, collects your feedback and review after the event, and hands over the invoice.

Frequently asked questions

Is KhanePe a caterer?

No. KhanePe is a catering aggregator. It does not cook; it sources your catering from pre-vetted vendors, shortlists the best three quotes and coordinates the order. The vendor you choose cooks and serves, and KhanePe stays your single point of contact from the first call to the invoice.

What if I need catering in less than a week?

KhanePe works with a minimum one-week window, because calling you, briefing vendors and comparing quotes properly takes that long. For urgent requests, call the team; they can tell you whether any vendor can still take the order, but a full three-quote comparison may not be possible.

Do I pay KhanePe or the vendor?

Payments follow the 25% / 50% / 25% schedule set out on this page, and the invoice is handed over on the event day. Ask the team during the requirement call who receives each payment and how to pay. Keep payment receipts for each instalment.

Can I change the menu after confirming?

Small changes are usually possible until the reconfirmation call three days before the event, when time, date, venue and serving are mapped. Larger changes, such as a big jump in headcount, may change the price. Tell the KhanePe team as early as you can.

What happens if I cancel?

Once you confirm a vendor by paying 25% of the chosen quote, the booking cannot be cancelled, because the vendor reserves the date, staff and supplies for your event. Plans can still be adjusted: share changes to headcount, menu or timing before the reconfirmation three days before the event.

Why does KhanePe collect feedback on D-Day?

Feedback closes the loop. Your review is recorded against the vendor and shapes how vendors are shortlisted for future requests, so strong performance is rewarded and weak performance is caught. For daily contracts, MealPe can collect feedback digitally every day.
