Exhibition, expo and trade show catering

Meals for exhibitor teams, hospitality at your stall and food for visitors at expos, exhibitions and trade shows in Ahmedabad and Gandhinagar.

What catering do exhibitions and trade shows need?

Exhibitions need three kinds of catering: meals for exhibitor teams who cannot leave their stalls, snacks and beverages for visitors at stalls, and buffets or packed meals for organisers and volunteers. KhanePe sources vendors for one or all three, across every day of the show.

How do vendors handle exhibition logistics?

Exhibition halls have entry passes, fixed loading times and limited power and water. Share the venue rules, stall numbers and pass process in the requirement call. The vendor you confirm plans deliveries around those rules, and the details are mapped in step 7 before the second payment.

Is expo catering different from trade show catering?

Not in practice. Expos, exhibitions and trade shows have the same catering needs: multi-day supply, stall hospitality and staff meals, so KhanePe treats them as one service. What changes the quote is the number of days, stalls and people, and whether food is served at stalls or a central lounge.

Which formats, cuisines and menus suit exhibition, expo and trade show catering?

For exhibition, expo and trade show catering, vendors most often quote packed meal boxes for stall teams, snack and beverage service and buffet for organisers. Popular cuisines include Gujarati, Live counters and Continental, and the sample menus below give you a ready brief. Every quote states format, menu, staff and price, so the three options compare directly.

Frequently asked questions

Can KhanePe deliver lunch boxes to our exhibition stall?

Yes. Packed meal boxes delivered to each stall are the most practical format for exhibitor teams. Share stall numbers, team size per day and preferred lunch times, and the vendor will plan deliveries around the venue’s entry rules. Boxes can be labelled for Jain or other special meals.

Do you cater exhibitions in Gandhinagar?

Yes. KhanePe serves Gandhinagar, including its convention and exhibition venues, as well as venues across Ahmedabad and GIFT City. Share the venue name and its catering rules, because some venues only allow approved caterers; KhanePe will check which vendors can work there.

Can we offer snacks and tea to visitors at our stall?

Yes. Stall hospitality usually means tea, coffee, water and light snacks served through the day, sometimes with a branded counter. Share expected visitor numbers and the stall layout, and vendors will quote supply, staff and refills for every day of the show.

How far ahead should exhibitors book catering?

At least one week, and earlier for large shows, because many exhibitors book vendors for the same dates. Booking early also leaves time to sort entry passes for the vendor’s staff. KhanePe’s process returns three quotes before you confirm with a 25% payment.

Can one vendor cover all days of a multi-day expo?

Usually, yes. Vendors quote the full run of the show, with menus that change daily if you ask. If one vendor cannot cover every requirement, for example stall lunches and a gala dinner, KhanePe can source two and keep one point of contact for your team.
